Exam Requests, by the Outcome You Need
An exam deferral is not a general request for help, and it is not the same as an ongoing accommodation. It asks for one specific outcome for one specific exam: a new date, or a temporary Incomplete grade with a completion plan. Start from that outcome — and note the boundary: extended time and a quiet testing room are Disability Services accommodations, not deferral requests, and filing a deferral for them will not get you either.
Exam Deferral / Makeup Exam
Postponing a midterm, final, or quiz to a new date, decided by your professor or department. State the course, the original exam date, and a proposed new date — a request with no course or date attached cannot be processed as written.
Makeup Exam
Incomplete (I) Grade Request
A temporary Incomplete grade with a makeup plan and a completion deadline, where your professor agrees and you meet your school's eligibility rules. Check what happens if the work is not completed by the deadline — under many schools' policies, the grade may convert, so do not treat an Incomplete as an open-ended extension.

Missed Exam: What to Do First
The first step after a missed exam is not the letter — it is contact. Notify your professor or department the same day, through the method your syllabus specifies, and check your school's retroactive window before it closes. Prepare your assessment in parallel, so the letter can be submitted through the specified method as soon as it is issued.

Before the Exam: If You Cannot Sit Tomorrow
If you know before the exam that you cannot sit it, notify your professor or department before the exam if you can, through the method your syllabus specifies. Check your school's rule first: in many schools, sitting an exam can affect a later deferral request for that same exam, so a before-the-exam notice is stronger than an after-the-exam explanation.

Extended Time and Testing Room: The DSO Route
Extended testing time and a distraction-reduced testing room are ongoing accommodations, normally arranged through Disability Services, with registration and an interactive process. A one-time deferral letter to a professor does not grant them. If you need them for future exams, start the Disability Services process separately — do not file a deferral request for them.

Multiple Exams in One Week
One letter does not automatically cover all of your courses. Each professor and department decides its own exam separately, so submit a request per course, with each course and exam date named. A letter that says “all three exams” with no course list attached will be sent back for clarification in most departments.

What Your Deferral Letter Should Show
A useful deferral letter shows the course, the exam date, the dates you were unable to sit it, and what you are asking for — a makeup date or an Incomplete plan. A diagnosis alone, without that exam date and request, is the most common reason a professor or department asks for more information.

No — a letter does not force a reschedule, and it does not automatically override a syllabus. Many schools route medical excuses through a department or Dean's office, and a professor may need that office's approval before granting a makeup. Check your syllabus and your school's medical excuse process first, and submit through the route it specifies — not just directly to the professor if the process says otherwise. An ADA complaint is also not a lever here: ADA accommodations are a separate Disability Services process, with registration and an interactive process, not something a single doctor's note grants on its own.
It can be evaluated, but it does not automatically qualify. Test anxiety on its own is not a DSM-5 diagnosis, and a panic episode is a symptom that a clinician needs to evaluate in context — what happened, when, how it affected your ability to sit that specific exam, and what your history looks like. A useful letter states the exam date, the impact on that date, and what you are asking for, not just a label. If anxiety affects your exams repeatedly, that is a separate question for Disability Services, which handles ongoing accommodations through its own process.
These are different requests, decided by different offices — a single letter does not secure all of them:
- •Exam Deferral & Rescheduling: postponing a midterm, final, or quiz to a new date, decided by your professor or department.
- •Incomplete (I) Grade: a temporary grade with a makeup plan and a completion deadline, where your professor agrees and you meet your school's eligibility rules — it is not automatic, and if the work is not completed by the deadline, the grade may convert under your school's policy.
- •Extended Testing Time: an ongoing accommodation, normally arranged through Disability Services, not granted by a one-time note to a professor.
- •Distraction-Reduced Testing Environment: also an ongoing Disability Services accommodation, with its own registration and approval process.
It depends on your school's window — there is no universal 48–72 hour rule. Some schools require same-day notice, others allow a week, and some do not allow retroactive requests at all. Check your syllabus and your Dean's medical excuse notice immediately, and contact your professor or department the same day, in parallel with your assessment, rather than waiting for a letter to make first contact. Submit the letter through the method your school specifies, before that window closes.
The letter you submit goes to the professor, department, or Dean's office handling your request — that is a disclosure you choose when you submit it, and it should not include your full medical history or unrelated personal details. A deferral letter should state the exam date, the dates you were unable to sit it, and what you are asking for, with enough clinical context for the decision, and nothing more. Separately, an Incomplete grade or a makeup exam status is an academic record, not a medical record, and it follows your school's academic record rules.
Do not wait for a letter to make first contact. If your exam is tomorrow, notify your professor or department now, through the method your syllabus specifies, and complete your assessment in parallel. Once a letter is issued, download it from your account and submit it through your school's specified method before the exam window closes. A letter delivery time does not extend an exam time, and if the exam is within hours, ask your professor or department about the late submission method — do not assume a fast delivery will save a missed window.
